Early Childhood Registrar

Founded in 1912, The Cleveland Music School Settlement (dba The Music Settlement) provides music and arts programming to students of all ages and backgrounds in a way that promotes creativity, self-confidence, and artistic expression. The Center for Early Childhood is celebrating its 70th year, having been established in 1955! The Music Settlement (TMS) has earned a reputation for excellence in all aspects of early childhood education and is a leader in Northeast Ohio. The program has a strong emphasis on the arts, literacy, and science. The mission of The Music Settlement's Center for Early Childhood is to provide a high-quality early childhood experience for children that nurtures the individual, supports the family, and enhances a child’s development through involvement with the arts.

Classification: The role is a full-time, salaried exempt status position. This position is located at our Ohio City campus with no remote options available.

Primary Purpose:

The Registrar for Early Childhood advances and supports the mission of The Music Settlement through communication, coordination, registration, billing, licensing, and accreditation responsibilities for the Early Childhood program. This person works in concert with the EC administration team and closely with the on-site administrator for the school. The Registrar is the key school contact for families. Throughout her/his execution of duties, s/he maintains and demonstrates TMS values and philosophy, while maintaining confidentiality, integrity, and business ethics.

Essential duties and responsibilities:

  • Supervises the Early Childhood Office as on-site administrative representative.
  • Manages enrollment from inquiry through onboarding for Center for Early Childhood (EC) students, campus specific.
  • Processes applications and registration for EC Ohio City programs.
  • Coordinates tuition, including billing and collection.
  • Maintains all child enrollment records for Ohio City campus EC programs.
  • Administers parent communication regarding EC programs and enrollment.
  • Maintains student/teacher ratio and serves as “Second Adult” during program hours- Open/Close of EC campus.
  • Maintains student enrollment documents for Ohio licensure compliance, assuring that applications are processed timely and follow up/files are maintained.
  • Monitors requests for funding, processes financial aid requests for all EC programs and third-party billing for support funding and to reconcile funding.
  • Manages EC accounts on ACTIVE registration system (client records and registrations) to address billing and attendance questions as well as withdraw students as applicable.
  • Maintains the annual department calendar (in house) for all EC programs and updates it throughout the year, as well as related paperwork for events or administrative year timeline.
  • Prepares and distributes all EC program communication to parents (excluding teacher created, student and classroom specific content) for events, meetings, parent committee requests, evaluation forms, exposure notices, etc.
  • Coordinates with Center Chair for recruitment events and parent tours on campus.
  • Prepares registration materials for all programs in the EC Center.
  • Constructively communicates and collaborates closely with team to accomplish Center goals.
  • Monitors and ensures the highest standards for child safety and is responsible for ensuring site safety practices align with Ohio and center specific licensure compliance, expectations and protocols.
  • Assists/coordinates emergency response for children, teachers, or physical site/building.
  • Responds to TMS requests for EC data and information such as from Enrollment and Customer Services (ECS)
  • Other duties as assigned.

Educational Requirements:

  • CPL Level II
  • Two Years of college coursework minimum required (this meets CPL Level II expectation)
  • Associate degree or bachelor’s degree in communications, Business, Education, or related field preferred.

Required Qualifications:

  • Early Childhood or other educational setting experience as registrar, administrator, customer service representative or similar relevant experience, 2 years required, additional experience preferred.
  • Skilled communicator in verbal and written communications, respectful of differences in those we serve and collaborate with in demonstration of TMS organizational values and mission.
  • Proficient computer and web-based applications user (Microsoft Office Suite- Excel, Word, Publisher, Access, & Outlook, and Adobe or Canva) for communication and creation of promotional/programmatic materials.
  • Strong organizational and time management skills.
